AIR TICKETS

If you plan to travel on the exact dates of the official program without any changes, the VUMI® Events Team will coordinate your airline tickets with our authorized travel agency.

Should you wish to plan your own travel and request a reimbursement of the approved amount for airfare, you must do so before March 31, 2023.  Send an email to convention@vumigroup.com to enquire about the approved reimbursement amount for your airfare. This amount is based on your country of residence. Make sure to keep the VUMI® Convention team updated of any changes.

 

TRANSFER

For those traveling within the dates established for this program, arriving in Tokyo on 17 May, 2023 and departing on May 21, 2023, VUMI® will arrange all necessary internal transfers. Those traveling on different dates must arrange and pay for the required transfers. These amounts are non-refundable.

REQUIREMENTS
FOR VISA

According to the country of your passport, here is important information about the process of obtaining a Japanese visa. If your passport country is not listed below, you will not need a visa to enter Japan.

Remember, securing a visa is the responsibility of the traveler. VUMI® will not be responsible for obtaining a visa for any participant.

REIMBURSEMENT

VUMI® will reimburse the cost of air tickets according to the rate approved for your country of residence, should you wish to book your own air tickets. If the cost of the ticket exceeds the established rate of the reimbursable amount, the participant will be responsible for the balance. If a ticket costs less than the applicable maximum amount, this difference will not be redeemed for cash or awarded in any other form of credit. To learn about the reimbursement rate established for your country of residence, please send us an email. To process your refund, you must send the following documents to convention@vumigroup.com:
  • Reimbursement request form, available by clicking here.
  • Issued airline ticket with your full name, travel itinerary and total cost. Booking documents will not be accepted for reimbursement purposes.
  • Receipt or proof of payment for the airline ticket.
Please note: All those arranging their own travel are responsible for coordinating and paying for their airline tickets, as well as any transfers and additional nights of lodging required. Please keep the VUMI® Convention team updated on any changes to your travel itinerary, and email us all the relevant information by March 31, 2023.

MEDICINES

Japan has strict regulations concerning prescription and Over the Counter (OTC drugs).  Here you’ll find all the information you’ll need to comply with regulations.

COVID-19
REQUIREMENTS

All visitors to Japan must have a Certificate of Vaccination or a negative COVID-19 test. This test must be taken within 72 hours before travel. The 72-hour time frame begins from when the sample was taken, and not from when the results were received.

Every visitor entering Japan must make use of the Visit Japan Web, a convenient online service for Quarantine, Immigration and Customs procedures. You will be required to:

  1. Register an authorized vaccination certificate or COVID-19 Negative Test.
  2. Obtain a QR code, which is automatically generated after registration.
